The importance of ground transportation...


How can meeting planners make the most of their ground transportation dollars? Here are some tips to help you out!
  • Reserve your transportation as soon as possible. In addition to avoiding cost increases, you will also avoid a last-minute scramble to find appropriate vehicles.
  • Be sure to communicate with your guests. This is very important. Keep all meeting attendees up-to-date on pick-up and drop-off times, pick-up and drop-off locations, and what types of vehicles to look for.
  • Be as accurate and as detailed as possible when booking your ground transportation. It is important to have as much information as possible prior to booking your ground transportation. When calling to reserve, please be prepared with date and duration of your event, location(s), number of attendees, type of attendees (VIPs, executives, employees, etc.), information for any off-site transportation that may be needed, and any special services that may be needed (meet-and-greets, special signage, etc.).
  • Budget appropriately. It is best to figure approximately 10% - 15% of your meeting budget for ground transportation.
Large meetings, corporate events, and corporate road shows are no doubt a huge undertaking for any event planner. With proper planning these events can run smoothly and be a success. Don't under-estimate the impact that solid, professional ground transportation can have on the overall success of your event. Keep the above tips in mind when planning your next corporate event and you can be assured that a great and productive time will be had by all.

Helpful travel tips...

So beside the seamless and luxurious services we provide to you at Boston Chauffeur, we thought we'd provide some additional tools and tips that can make your upcoming travel that much more comfortable.

· The U.S. Department of State's Travel Website (http://travel.state.gov).
o A great resource for any traveler but especially for the international traveler, you can register online so that they can better assist you in case of an emergency. They hold a wealth of advice concerning passports, credit cards, crime, medical coverage, etc. and they allow you to view their travel warnings about specific countries and summaries of local conditions and laws.

· Pack SmartDid you know that rolling your clothes actually prevents wrinkling? Roll 'em up now and save the ironing when you get there.
If traveling with liquids or gels and planning to carry-on, don't forget to put your shampoo, hand lotion, toothpaste and others into a clear plastic sealable bag. You'll get through security much more quickly and just in case one leaks while you're at 35,000 feet, you'll be covered.
Most of the major airlines now are charging for checked bags. Challenge yourself to see how much you can fit into one bag and save on the extra fees and wondering if your checked bag will reach your destination!
Pack a snack. Airline food policies are very inconsistent. You might or might not get a proper meal/snack depending on the carrier. Make sure you have what you need and don't rely on them to keep you from being hungry.

· Get to the airport early
o It's not only good theory, but how we run our business. Record fuel prices have caused airlines to reduce the number of flights and therefore remaining flights are more crowded. We always believe that 15 minutes early is on time, and recommend you get to the airport at least an hour before your scheduled boarding time (not departure time).Security frequently is the bottleneck at airports. Wear shoes you can get into and out of easily, bring a sealable plastic bag to put all of your metal objects in to put through the scanner and leave your water bottle in the car - you can't take it through security.

Plan now for holiday travel...


The calendar still says August but soon it will be Labor Day, the kids will be heading back to school, and then before you know it the leaves will be changing and fall will be here. With summer winding down it is time to start thinking about holiday travel. The days surrounding Thanksgiving and Christmas are traditionally two of the busiest and most stressful times of the year to travel. Just as all the good airfares and hotel deals sell out early, our vehicles, especially the larger ones, are reserved early. You don't want to have your dream holiday trip planned and have no way to get to the airport, do you? Your stress can be eased by preparing in advance. Here are some important tips to keep in mind when travelling during the busy holiday season:


  • Know the peak travel dates. It is best to travel as early as possible in the week prior to the holiday.

  • Consider alternate airports. Often you will save time and money and have a more pleasant experience by utilizing a smaller airport.

  • Be careful with connections. Allow sufficient time for layovers, and build in ample time for flight delays and weather issues.

  • Leave early when heading to the airport. Arrange to have your driver at your home extra early to allow time for traffic.

  • Travel light. Airlines are strictly enforcing luggage weight guidelines.

  • Travel early or late in the day. Airports are least congested at these times.

  • Always check current security guidelines so that you are aware of what you can carry on the aircraft and what must be checked. The website for the TSA is a good place to start.

  • Stay up-to-date on weather conditions to plan for delays and to pack accordingly.

  • If traveling with gifts, do not wrap them as they will most likely be searched. Whenever possible, ship gifts ahead of time to your destination.
